Throughout this Notice, “My Hidden Depths”, “we”, “our” and “us” refers to My Hidden Depths, acting as the data controller responsible for determining the purposes and means of processing your personal data. “You” and “your” refers to the individual using our services or interacting with our website, whose personal data we may collect and process. Processing is any operation or set of operations that is performed on personal data or on sets of personal data, whether or not by automated means, such as collection, recording, organisation, structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or otherwise making available, alignment or combination, restriction, erasure or destruction.

1. Personal Data We Collect

   When you visit the My Hidden Depths, we automatically collect certain information about your device, including information about your web browser, IP address, time zone, and some of the installed cookies on your device. Additionally, as you browse the Site, we collect information about the individual web pages or products you view, what websites or search terms referred you to the Site, and how you interact with the Site. We refer to this automatically-collected information as “Device Information.” Moreover, we might collect the personal data you provide to us (including but not limited to Name, Surname, Address, payment information, etc.) during registration to be able to fulfill the agreement.

   • From when you provide your contact details in any of our contact forms / newsletter sign up forms, when you request further information from us, when you send an email to us, when you book a session, attend an event or join one of our programs

   • From third party sources (such as other institutions involved in the delivery of joint programmes or other individuals that have interacted with us previously). Where we obtain personal data from third party sources, we will look to ensure that the third party has lawful authority to provide us with your personal data.

   • From you when you disclose personal data during the course of a session/event/program or when accessing our services or resources (e.g. including but not limited to advice, counselling, support, requests for information)

   My Hidden Depths collects and processes a broad range of personal data about you in order to deliver our services effectively to you as a client, manage our operations effectively and meet certain legal requirements. Examples of this personal data will include your name, email address for correspondence and date of birth. Personal data may also contain “Sensitive Personal Data”, including but not limited to personal data about your racial or ethnic origin, eating habits, sleep habits, current or previous ailments, physical wellbeing, emotional wellbeing, mental wellbeing, religious or philosophical beliefs, health and your genetic or biometric data. When you interact with us either generally or through an event, call or session, you have the option not to provide certain types of “Sensitive Personal Data”. However you must provide any information about your state of wellness that directly affects your ability to complete the session or event.

2. How We Use Your Personal Data

   • We use your personal data to provide you with tailored wellness insights and treatments.

   • Some services, such as Bio-Well sessions, requires personal data to be processed through the Bio-Well system, operated by the Bio-Well company, which is based in the United States. This includes data about photonics emissions from your fingertips, your energy levels, stress, and wellness insights.

     • Data collected during the scans will help us analyse and understand your energy flow, stress levels, biorhythms and more and will be used to generate your personalised report and music file.

     • This data will be stored in Bio-Well’s American-based cloud system, which allows for ongoing comparisons to track your progress.

     • Bio-Well data is processed through their U.S.-hosted cloud system. As a practitioner, we do not control Bio-Well's data storage directly but facilitate the process on your behalf.

     • Anonymisation/Deletion: If you prefer, your personal data can be anonymised or deleted immediately after the scan. In this case, your data will be fully erased from Bio-Well’s servers, and we will no longer have access to it for future reference.

     • Implications of Deletion: If your data is deleted, we will not be able to compare future scans to track changes or provide insights on your progress.

   • Personal data is collected to a lesser extent in BodyTalk sessions, coaching calls and events and may include information such as name, contact details, and session notes. This information is held securely by the practitioner and/or event team. Any personal data collected during 1:1 sessions is used to ensure personalised treatment based on your needs and well-being.

3. Retention of Your Personal Data

   My Hidden Depths and associated practitioners retain your personal data during your session(s) or event(s). Some types of personal data are retained long after the session or event has ended, for example, so that we can verify your attendance or support future sessions. Other types of data, particularly if sensitive, may only be retained for a short time.

5. Why do we process your data?

   Our top priority is customer data security, and, as such, we may process only minimal user data, only as much as it is absolutely necessary to maintain the website. Information collected automatically is used only to identify potential cases of abuse and establish statistical information regarding website usage. This statistical information is not otherwise aggregated in such a way that it would identify any particular user of the system.

   You can visit the website without telling us who you are or revealing any information, by which someone could identify you as a specific, identifiable individual. If, however, you wish to use some of the website’s features, or you wish to receive our newsletter or provide other details by filling a form, you may provide personal data to us, such as your email, first name, last name, city of residence, organisation, telephone number. You can choose not to provide us with your personal data, but then you may not be able to take advantage of some of the website’s features. For example, you won’t be able to receive our Newsletter or contact us directly from the website. Personal information collected during communication, sessions or events is stored securely by the practitioner and My Hidden Depths for a reasonable period of time. Access is restricted to only those who require the information to provide you with services and we will not share your data with any third parties unnecessarily, with the exception of the Bio-Well company, as this is necessary to generate your personalised report and music file. You consent to the sharing of your data with them when you book a session with us.

   We secure data and information you provide on computer servers in a controlled, secure environment, protected from unauthorised access, use, or disclosure. We keep reasonable administrative, technical, and physical safeguards to protect against unauthorised access, use, modification, and personal data disclosure in its control and custody. However, no data transmission over the Internet or wireless network can be guaranteed.

6. Legal disclosure:

   We will disclose any information we collect, use or receive if required or permitted by law, such as to comply with a subpoena or similar legal process, and when we believe in good faith that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request.

7. Third-Party Data Processors

   We may share your personal data with organisations within and outside of the European Union. Where we share your personal data with countries outside of the European Union we will ensure that there are appropriate safeguards in place to protect your personal data. For Bio-Well Sessions specifically, your data is processed by the Bio-Well company through their U.S.-based cloud service.    You have the right to:

   • Request deletion of your data at any time (with the understanding that deleting Bio-Well data may limit future tracking and insights).

    • Information Collection and Security - My Hidden Depths only collects information on our web site that has been submitted by registered users. My Hidden Depths website employs the use of “cookies” to enable us to track usage patterns and deliver customised content to users. Our cookies do not collect personally identifiable information.

    • Information Usage - The information collected by My Hidden Depths is used for the purposes of this web site only. We do offer, as part of the education program, links to other web sites, content hosting platforms and source references. Please note that when you click on links to other web sites, we encourage you to read their privacy policies which may differ from ours. Because our web site also offers user-submitted posts and comments, please be advised that information posted in these venues becomes public knowledge with the submittal of any information or images contained therein.
